Check for an existing listing first
Google auto-generates listings from third-party data more often than people realise. Creating a second one produces a duplicate, which is worse than having none — so we always look before we build.

Chosen by examining what the businesses currently ranking for your target searches use, not by picking whichever option sounds most impressive from the dropdown.
Address or service area decision
A shopfront customers visit, or a service area business with the address hidden. Getting this wrong at setup is one of the most common causes of later suspension.

Checklist

The setup decisions that are expensive to change later

Everything on a Google Business Profile can be edited, but these ten carry a real cost if you get them wrong — a re-verification, a suspension, or a period of volatility. Decide them deliberately before you create anything.

  1. 01Business name — must be your real trading name exactly. Keywords here risk suspension and are trivially reportable.
  2. 02Primary category — the strongest relevance signal. Match what the ranking competitors use, not what sounds best.
  3. 03Address versus service area — a shopfront customers visit, or a hidden address. Getting this wrong is a leading cause of suspension.
  4. 04Address format — must match Companies House and your citations exactly, including whether a suite number is present.
  5. 05Service area definition — realistic radius or named towns. Claiming a whole county dilutes relevance rather than expanding reach.
  6. 06Phone number — a local number where possible; a distinct number per location if you have several.
  7. 07Website URL — with UTM tracking, so profile traffic is identifiable in analytics from day one.
  8. 08Opening date — set it honestly. It appears publicly and inconsistency with other records draws scrutiny.
  9. 09Account structure — created under a business account, not a personal Gmail belonging to whoever set it up.
  10. 10Ownership — the business owns it; agencies are managers. Reversing this later requires a transfer request Google may decline.

Timeline

How long this actually takes

The build takes under a week. Verification is entirely Google’s timeline and ranges from same-day to several weeks — video verification is usually faster than postcard, and neither can be accelerated. A new profile does not rank immediately; expect four to eight weeks before it settles into a position, longer in competitive urban areas. Anyone quoting a verification turnaround is describing a typical case rather than something they control. The genuinely valuable part of this service is the decisions, not the data entry — a wrong primary category or an ineligible address costs months to unpick later.

What if a listing already exists that we did not create?

Common — Google generates listings from third-party data sources. Claim it rather than creating a new one. Creating a second produces a duplicate, which splits signals and can suppress both. Always search Maps thoroughly before starting, including old trading names.

How does video verification actually work?

You record a single unbroken video showing the exterior with signage, the surrounding area, the interior, your equipment or stock, and evidence of management access such as a till system or back office. It has to be one continuous recording, and preparing for it properly is most of the reason people pass first time.

Can we use a home address?

Yes, if you genuinely operate from it — but almost always as a service area business with the address hidden, unless customers actually visit you there. Displaying a residential address you do not receive customers at breaches the guidelines and is a common suspension trigger.

How long does verification take?

Anywhere from the same day to several weeks. Video verification is generally faster than postcard, which can take two weeks or more and sometimes never arrives. Google controls this entirely and there is no expedite route, so treat any quoted turnaround as an estimate.

What if verification fails repeatedly?

Repeated failures usually indicate an eligibility problem rather than a recording problem — a virtual office, a co-located address, or a category flagged as high risk. Continuing to resubmit the same evidence will not work. The fix is to establish which eligibility criterion is failing and address it.

Should our agency own the profile?

No, under any circumstances. The business owns it; the agency is added as a manager. Agency-owned profiles are a genuine hostage situation when the relationship ends, and transferring primary ownership requires the current owner to agree. We set this up correctly by default.
