AI Services

AI Receptionist

For trades, clinics, salons and any business where the phone rings while everyone is busy. It catches what nobody was answering rather than replacing anyone.

An AI receptionist answers the calls your business currently misses — out of hours, during busy periods and when the line is engaged. The Nexclick measures how many those actually are before building anything, because the gap is sometimes smaller than the cost of closing it.

Is this you?

What usually prompts the call

  • Engineers are on jobs and the office closes at five, and calls arrive outside both.
  • You suspect you lose work to whoever the caller rings next, and cannot prove it.
  • You pay for a call answering service that takes messages and cannot book anything.
  • Your marketing is working and the phone is the bottleneck.

What we do

The actual deliverables

Things that appear on an invoice, not adjectives.

Establish the actual gap
Call tracking for two to three weeks: how many calls go unanswered, at what times, and what they are about. The number is frequently different from the impression.
Configure to your services and coverage
Your real service list, coverage area, pricing rules and availability, so it answers specifically rather than generically.
Capture and qualify
Name, number, address, job type and urgency, structured so the morning starts with a work list rather than voicemails to transcribe.
Booking where the diary allows
Appointments or diagnostic visits booked directly into your system, which is the difference between message-taking and actually handling the call.
Escalation for anything urgent
Gas smells, leaks in progress, clinical symptoms, distressed callers — transferred to an on-call person immediately, never handled by the agent.
Integration with job management
Captured enquiries arriving as jobs with details already filled in, so nobody retypes anything.
Weekly transcript review at first
The first month of real calls reviewed and the configuration adjusted. This is where the quality comes from.

Comparison

AI receptionist, call answering service, or voicemail?

Three ways to handle the calls you cannot take. Compared honestly, because for some businesses the cheapest option is genuinely adequate.

How it works

Step by step, with timeframes

Timeframes are typical rather than guaranteed, and they assume we get account access and approvals when we ask.

  1. 01Week 1–3

    Measure the missed calls

Call tracking establishes the size of the gap. If it turns out to be small, we say so and stop.

  2. 02Week 3–6

    Configure

Services, coverage, qualification questions, booking rules and escalation, agreed in writing.

  3. 03Week 6–9

    Integrate and test

Job management or diary integration, with test calls covering the awkward cases as well as the straightforward ones.

  4. 04Week 9–14

    Out-of-hours pilot, then extend

Live out of hours first, reviewed weekly, then extended to overflow once the transcripts support it.

What you get

Reporting and ownership

  • A measured figure for missed calls before anything is built, so the outcome can be judged.
  • Enquiries arriving in your job system with the details already captured.
  • Escalation to an on-call person for anything urgent, tested rather than assumed.
  • All call recordings and transcripts, owned by you.
  • Monthly reporting on calls handled, enquiries captured and escalation rate.

Tools and platforms

  • Commercial voice agent platforms
  • Call tracking
  • Twilio or equivalent telephony
  • Job management and diary APIs
  • Transcript review tooling

Timeline

How long this actually takes

Nine to fourteen weeks including the measurement period and a staged rollout. Start out of hours where the alternative is nobody answering. The most common outcome worth setting expectations on: the agent will handle a good proportion of straightforward calls and escalate more than you expect. That is correct behaviour rather than failure — an agent that escalates a difficult call is doing its job, and one that does not is the liability. If the measured gap is small, we will tell you and recommend against building.

Pricing model

Project, then retainer

Fixed price for configuration and integration, then a monthly fee plus per-minute platform costs paid by you directly. Compared against a call answering service during scoping.

Questions

AI Receptionist questions

How do we know how many calls we actually miss?

Call tracking for two to three weeks, which is the first thing we do. Most businesses are surprised in one direction or the other. It is a cheap measurement and it turns a suspicion into a number that either justifies the project or ends it.

Will this replace our receptionist?

In the work we do, it catches what nobody was answering — out of hours, overflow, the fourth simultaneous call. If your goal is to reduce headcount, say so at the start, because it changes what should be built and how carefully the escalation rules need designing.

What happens with an emergency call?

It transfers immediately to an on-call person and the agent does not attempt to handle it. Gas smells, leaks in progress, clinical symptoms and distressed callers are all explicit escalation triggers, tested before go-live rather than assumed.

Can it handle callers who ramble or go off-script?

Reasonably well, and not perfectly. It will ask clarifying questions and, after two failed attempts to understand, escalate or take a message. That threshold is deliberate — an agent that keeps trying is more frustrating than one that hands over.

How does the cost compare to a call answering service?

Usually lower on ongoing cost and higher on setup. A human service handles complexity better; an AI receptionist books appointments and writes into your systems, which a message-taking service does not. We model both against your actual call volume during scoping.

What if it books something we cannot honour?

It books against your live diary with your own availability rules, so it can only offer what is genuinely free. Where a job type needs a specific engineer or a longer slot, that is configured. Getting those rules right is most of the configuration work.
